Designing internal application to digitalise operation & project management

About LTSA
LTSA is an internal application of organisation used for contract managements. The contracts details includes history details of more than 10years on average of each contract. This tool also enables the users to automate their operations around contract management and make it easy for the stakeholder for revenue analysis out of contracts. The revenue analysis and automative contract operations enables the user to strategies the maintenance policies and billing cycles of each contract.
Why we feel the need to design this new tool?
• Automating the contract management and maintenance operations. (They call maintainance as “Part Rotations”)
• Reducing multiple digital touch points to get required information.
• Making LTSA as a single source of truth for data.
• Enhancing the operations productivity by more than 70%.
• Ability to have contract extension feature while maintaining the past history of the same contract.
• Getting rid of complex excel sheets to execute the current way of managing contracts.
My Role
I played the role of product designer as an individual contributor and executed end-to-end design process best suited for the project.
• Directors of “Organisation” , Front-End Engineers, Back-End Engineers
• Conducted UX Workshops for requirement gatherings and understanding the what and why of business requirements.
• Designed UI for LTSA and supported the engineers during the development cycle.
• Executed Design QA and helped the QA Engineer to report design bugs after development.
Research approach
Considering all the constraints in mind I decided to conduct following research activities to come up with my design decisions:
• Focus group discussion (with stakeholders) - to understand the business goals, there current as-is process and pain-points.
• Competitive analysis - to understand the kind of layouts being used in the industry to solve such kind of problems
• User Interviews (with operations department) - to understand their current workflow, challenges, pain points and to understand the kind of tools they are familiar with in day to day life.
• Persona
• Defining Success Metrics - to keep the goals of business and potential users aligned
• Wireframes, UI and Figma prototype testings
Insights
• Contract management “Part Rotation” is the most crucial operation for the organisation.
• Automating Part Rotation’s operation to a level will reduce the data discrepancies, reduce time consumed to strategies the billing cycle , optimise the maintenance cost of contracts benefiting the organisation to save million of dollars.
Defining Goals
Getting insights from the research done I defined some key success goals to help me ensure that my ideations are in the right directions and also to keep the user & stakeholders aligned with the required outcomes
• Easy to use web application for managing contracts
• Ability to extend contracts
• Ability to get revenue analysis at individual contract level and all contract level
• Ability to define master level settings that will be applicable to contracts level for different aspects
• Ability to manage users role and permissions
• Minimum learning curve

Part Rotation - for maintainance operation

To execute a key step of client's maintainance operation using a module called "Part rotation" with the ability of configuation, manage components, search components, version control, etc. all in one module against the previous tedious way of multiple excel based touch points.
Sync Cost Data - API integrations from their other enterprise software

This tool become single source of truth for all the operations related data of their projects by integrating their other ERP with LTSA
Pricelist Creation

Ability to create pricelist into master settings which can be pulled into various contracts.
Impact & outcome
With usability testing of Figma prototypes stakeholders and users were happy with the MVP designs
We were able to achieve:
• Reduced the cognitive load by 70% to execute the maintenance operations of client’s contracts.
• Reduced the need of multiple digital touch point by more than 90% through automation of gathering the required information to do contract management and revenue analysis.
• Digitalised their entire operations.
• Increased productivity to do maintenance operations by more than 70%.
• Enhanced the accuracy of the data by more than 90% by introducing single source of truth with ability to continuous syncing of data through api’s in informed manner.
• Enhanced the ability to plan the contract’s maintenance and billing strategy by more than 90% helping them to increase the revenue in million dollars.
Current status
• Currently the tool is under development and continuous QA testing is going on
Learnings
• Not every design project can be solved with the same approach.
• Get to understand and learn about the business workflow and how their contract maintenance is a very strategic part putting million dollars on stake.
• Learned how to design the UI which supports - Device %age and Browser%age as well along with responsive media queries.
• Learned more about the concepts of Master Settings Modules in multi-role based web applications.
• Defining Success Metrics always helps for our ideations and design iterations in the right direction.
